Catering & Conference Services

Catering

On site, full service catering is available at Hueston Woods Resort & Conference Center. Our conference center is fully equipped to accommodate private meals and receptions of 20 to 250 people. Both buffet and plated menus are available for breakfast, lunch and dinner functions. Or, for more calorie-conscious groups, continental breakfast and light lunch menus are offered. We can even customize box lunches for groups on the go. Hueston Woods Resort & Conference Center is happy to work with groups to accommodate specially tailored menus or requests.

Planning a wedding? You've come to the right place. Hueston Woods offers a unique setting for such special occasions and our staff is experienced and available to assist you with planning an extraordinary day.

For á la carte dining, The Trailblazer Dining Room, overlooking beautiful Acton Lake, serves three meals daily.

In order to assist you, we find that certain guidelines and procedures will help us ensure complete satisfaction with your function. Please contact our Sales & Catering Department for any special arrangements.

Meeting Rooms

Please adhere to the agreed function schedule as other groups may be utilizing the same room prior to or following your event. Should your needs change, contact your Sales & Catering Manager and every effort will be made to accommodate your requests. The seating capacity in the meeting rooms will vary depending on set up, equipment and/or displays, head table, dance floor or other requirements. In order to maintain the quality and appearance of our facilities, stapling, tacking and taping to wall coverings or wood surfaces is prohibited. Please consult with our banquet staff regarding your requirements.

Banquet Menus

Our menus include our most popular items. We suggest that for quick and efficient service one menu selection be made for all groups. For a buffet style meal, a minimum number of people are required. We are also prepared to offer recommendations for theme parties and/or packages that may enhance your functions. The Ohio State Park Resorts and Conference Centers must provide all food and beverages (non-alcoholic and alcoholic) for all catered functions. Final menu selections and a guaranteed number of people must be submitted at least two weeks prior to your function date. A 10% increase or decrease in the guarantee number may be made no later than 72 hours prior to the time of the function. All groups will be charged at least the minimum guarantee. If no final guarantee is received, the number indicated on the original agreement will be considered the correct and guaranteed number of guests.

Banquet Service

The lodge offers a complete selection of beverages to complement your functions. Please note that all alcoholic beverage sales and service is regulated by the Ohio State Liquor Control Board. The Resorts, as licensees, are responsible for administration of these regulations. Therefore, it is the policy that no liquor, wine or beer may be brought into our lodges from any outside sources.

Pricing

All prices are subject to change without notice and do not include a service charge or tax, which may vary depending on location. Ohio law deems that the service charge is taxable.
Billing: All banquet and meeting related charges are subject to one master bill. All "no shows" will be included in the master billing. Prior credit may be established upon completion of a credit application and approval by Xanterra Parks & Resorts. We reserve the right to request all or part of the bill prior to the function. Functions must be paid for in advance or at conclusion of such event unless direct billing status has been applied for and approved 10 days prior to your function. Full payment of all group charges incurred are due and payable 10 days from the billing date and are subject to a 2% per month service charge on any outstanding balance.

Tax Exemptions

Tax-exempt status will be granted if furnished with documentation 10 days prior to your event. Ohio laws require that the tax-exempt organization remit all monies on the tax-exempt billing. Local bed tax and sales tax on alcoholic beverages are not subject to exemption. We cannot offer tax-exempt status to anyone paying with a personal check or credit card.

Security

Liability for any damages incurred by conference attendees or guests at any resort facilities are the responsibility of the organization booking the event and will be billed accordingly. The resort is not responsible for the security of or delivery/pickup of any equipment, displays, printed material or any other items necessary for any function. Please consult with our Sales & Catering Manager for additional information.

Wedding Receptions

Over the years Hueston Woods has become a popular location for wedding receptions. The following information is essential to planning a wedding reception with us.

Banquet Rooms

Our resort offers two ballrooms that are appropriate for wedding receptions. The Teepee Ballroom will accommodate a maximum of 200 guests with a rental fee of $1000.00. The Fireside Room will accommodate a maximum of 100 guests with a rental fee of $500.00.

Cake Arrangements

Arrange for your own wedding cake through any licensed baker of your choice. Please provide us with your baker's name, phone number, time and date of delivery. It will be your responsibility to collect and return all plastics and fountain accompanying your cake. Your cake will be displayed on a round or square table and will be skirted in white linen. A $50.00 minimum cake-cutting fee is applicable.

Decorations

Our tables are decorated with white linen napkins and table covers. You may provide your own candles and use our holders or you may purchase our 15" ivory tapers at the cost of 75¢ each. Silver candelabras are available and we can also provide you with bud vases at no additional cost. Hurricane globes are available for a $2.50 per globe rental fee. A decorating fee is charged if we arrange and place your cut flowers and candles. Fresh cut flowers and centerpieces should be delivered to our Sales Office by noon on your wedding day for evening receptions. If you are planning to have available rice, birdseed or confetti for your guests to throw, we ask that you please wait until you are outside the building before it is thrown. A $50.00 clean-up fee will be charged if it is thrown indoors.

Meal Arrangements

A catered meal is required in order to reserve one of our ballrooms. The type of meal selected should be based on the time of the wedding. We can offer an elegant hors d'oeuvre assortment, hot buffet, or a formal sit-down meal. A service charge of 19% plus state sales tax will be added to your food cost. All food and beverage consumed in our banquet rooms must be purchased through our Sales and Catering Office. All of our catering menus are on the Web site.

Bar Arrangements

All alcoholic beverages must be purchased through the Lodge. A party and cocktail sheet is available with complete information on ordering a private banquet bar.

Billing

A deposit of $1500 and your signed booking contract are due 10 working days from your contract date. Cancellation without penalty is up to 6 months prior to the reception date. If cancellation is less than 6 months, deposit will not be refunded. Advance payment of your estimated cost is due 15 days prior to your reception date.

Hotel Accommodations

A guaranteed minimum of 20 rooms is required. A deposit will be required on all rooms booked. A two night minimum stay is required on all weekends. Check-in begins at 3:00 p.m. for hotel rooms.
